Before You Add AI to Your Intranet: Getting Your Content Ready

So before you switch on AI search, it’s worth getting the foundation right. Here’s what that looks like in practice.
1. Give every important page an owner
If no one owns a policy or procedure, no one keeps it current — but the AI will surface it anyway. Assign a named owner to each key document who’s responsible for accuracy. This single step prevents most “the AI told me the wrong thing” problems.
2. Resolve duplicates and contradictions
In most organisations, the same topic is covered in more than one place — an old PDF, a wiki page, a news post from two years ago.
